New
- Clients – All files added to a client’s tasks or workflows are shown under the ‘Documents’ tab on the client card.
- Client Portal – Add custom links to essential items such as: Documents, Financial reports, Onboarding forms, Feedback surveys, Service agreements, Pricing, Instructions, Invoices. This section allows you to build the menu structure, set the order of items, and define default links. You can also customize names and links for each client individually. Only menus with defined links are displayed in client portal.

Improvements
- Client Portal — Under the task or project workflow template, choose whether the task will be assigned to the client portal or the client’s primary contact.
- Client Portal — After activating the client portal and enabling access to the contact, you can send out the invite on the client card, assign a task, and email the client. The invitation can also be resent if needed.
- Calendar — Enter time estimations for the tasks and see how much time has been estimated for the day. See the estimated time in the Summary or Tasks view in the report.
- Clients – When exporting client contacts, the company number and client code are added to the file, so the contact information can be easily updated.
- Client agreement monitoring — The downloadable Excel document shows the percentage, balance, completed amount, and agreed-upon amount for the task custom field.
- Tasks — When changing the client or project workflow, visualize which tasks were there before (green) and which new tasks will be added (blue) to the plan.
- Dashboard — When navigating to a long client name, the system shows the full name in a tooltip.
- Emails – Choose between two font sizes for signatures. For example, use a small font for the disclaimer of the signature.
- Emails – When sending an email has failed, resend the email with a click under client communication.

- Integrations – Uku is now integrated with the Danish business registry and when adding a new client manually, it fills in the fields with basic company data that is available in the registry.
- FreeAgent — Uku is now integrated with Freeagent. Import and update your clients directly from FreeAgent. There is no need to manually update the same data in different systems.
- Reports — Get a quick overview of your team’s performance with charts and work completion percentages. See how much work has been started, completed, or is still in progress.
Improvements
- Integrations – SmartAccounts integration got a few updates:
- Import clients
- Import entries/count of different transactions done in the previous month and invoice by that
- Create invoices in Uku and export them to SmartAccounts
- The system updates invoice status daily automatically
- Integrations – Import clients using different accounting software. Up until now, you could only have your clients linked to one external accounting software. Now import clients’ data from different sources w/o creating duplicate entries.
- Flextime – Rejected vacations can be changed or deleted by the requester.
- Calendar – When changing the date on the task, the calendar is updated. There is no need to refresh anymore.
- Clients — Copy the contact email address to the clipboard and use it wherever needed from the copy icon on the client sidebar.
- Clients – In case the topic has been marked non-billable, it’s shown on the task.
- Tasks – Fixed an issue where unchecking all plan tasks didn’t remove all the tasks from the client plan. You can now save a plan in Uku without any tasks in it at all.
August 2024

- Emails – Email signatures are now live. To offer even better service quality to your clients, set up signatures to use for emails.
- As part of branding, you probably want to give your emails your own look and feel – now you can do so with highly customizable signature templates!
- Placeholders – Use period placeholders in the company or client plan tasks to be aware of the period it belongs to, even if the task has been moved from the original period.
- Clients want to see tasks with titles like tax return August, tax return September, etc.
Use a period placeholder to do that.

Improvements
- Emails – After creating an email template check out how it looks before starting to use it by sending a test email.
- Flextime – In case someone is working on an irregular schedule, define the expected working hours for each day, which can differ from day to day.
- Date – In whatever view you are working on, the date can be entered manually for the date range, and there is no need to scroll in the calendar to pick dates. This also enables custom time periods.
- Monitoring – Have a more detailed overview of time spent on the client by monitoring time by topic. Even though the agreement with the client is for the whole service, usually, that is divided internally between different services.
- Then you know if the scope creep is from support, consultation, monthly bookkeeping or something else.

New
- Calendar – Uku tracks your daily progress and keeps you motivated. Time tracking can be motivating. Uku will show a progress bar in your calendar for every day you have tracked time. When you have fulfilled your expectations for the day, Uku will show the day in a green colour.
- Flextime – The Flextime app is available to all Uku countries. Due to popular demand, the Flextime app is now available in the United States and the rest of the world. Flextime weeks can be tracked only from Monday to Sunday as a small constraint.
- Emails – Make your emails genuinely dynamic by using client, contact, project or task fields in emails
- Most system and custom fields are available as placeholders that you can add to your emails or email templates
- You can use the placeholders in both the email subject and email body
- Text, Number, Date, User and URL fields are supported
- Clients
- Added a new field type, “URL”, that is validated and shown as a link on the client sidebar.
- Client’s main contact for communication is marked with a star and you can also change it yourself. The same is also available for project’s main contact for communication.
- Select which client fields you want to see as columns in the client list. Almost all client fields, both default and custom, are available as fields to show. Save it as a bookmark or as your default view to make it permanent.
- Change the order of columns in the client list by unselecting them as fields to show and then adding them back in your preferred order. Save it as a bookmark or as your default view to make it permanent.
- QuickBooks – When updating invoice status from QuickBooks, Uku will also import whether the invoice has been sent to client
Improvements
- Insert date with keyboard – speed up data entry.
- Tasks — Added a warning when deleting a task that you or your colleagues have logged time for, making it more complicated to accidentally delete such a task.
- Clients – Made further improvements to the client sidebar
- Pinned notes: remember whether you wanted to see them expanded or collapsed.
- Client invoice respects the sidebar and fills up the remaining space.
- Long texts that don’t entirely fit on the sidebar have a tooltip with full text.
- Expand and collapse buttons are in the same place.
- Added helpful tooltips to action buttons.
- Parent company and sub-companies are correctly labelled.
- Up to 1000 clients or invoices can be shown on a single page, making it easier to run bulk actions on larger subsets of your customers.
- Clients – When importing clients or contacts from Excel, rows with insufficient data that failed to import are presented more prominently.
- Dashboard
- Uku will refresh your dashboard to show today’s tasks automatically when the day changes.
- When grouping tasks by client or topic, clients and topics are sorted alphabetically.
- Calendar
- Some people like to see dependent tasks with unfinished dependencies in their calendar, some people like it clean. With a company setting to show all dependent tasks in the calendar you can now go either way.
- Increased the motivation factor of the daily progress bar by having it go green when daily expectations have been almost met.
- Client Portal
- Tasks to clients don’t show up on the client’s dashboard if they depend on other unfinished tasks.
- Project tasks to the client don’t show up on the client’s dashboards while they are waiting for a project status.
- Billing
- You can disable sending invoice emails to your clients in Uku if your company uses an external accounting software for this purpose.
- Avoid exporting duplicate invoices to your accounting software of choice by having Uku warn you if an invoice has already been exported.
- Invoice lists now feature a net total which is a sum of all filtered or selected invoices, grouped by currency.
- Up to 1000 invoices can be shown on a single page, making it easier to run bulk actions on larger subsets of your customers.

- Clients — Rebuilt the client sidebar into a helpful companion that can be called upon wherever you work with a client, client’s invoices or projects. The sidebar contains all master data you collected for the client and its contacts and includes shortcuts to edit or view related reports.
- Clients — Manage your company as a client as you would any other client. You can fill in client fields, describe contact information, restrict access to this client to select members or make internal time tracking mandatory.
- Calendar — Create your own events and holidays for your company. Under your company app, you can broadcast company-wide information, add company holidays, or add national holidays that Uku is not aware of and have them show up in the calendars of all your team members.
- Calendar — We know how important it is to maintain personal relationships with your clients and within your team. Remember to congratulate your members and clients by having their birthdays and client contacts’ birthdays appear in your Uku calendar.

- Clients — Several improvements were made to importing clients or contacts from Excel.
- Fields with one or multiple users can be updated from Excel.
- Only values defined in client or contact fields will be accepted when importing data into choice fields.
- Importing multiple contacts for a new client will create the client and put all contacts under this client.
- A client’s parent company can be imported from Excel and is matched by name.
- Improved performance of client import when working with large datasets with many clients and fields.
- Additionally, import results have been improved to highlight clients and fields that failed to import successfully.
- Clients — Clients in the client list can be filtered by date fields so that you can filter out clients nearing the end of the financial year or account statements due and make sure that everything is under control.
- Clients — The window to edit a client note expands automatically to fit the note, making it easier to work with longer notes.
- Clients — The user will remain in the client task plan after changing it, so it’s easy to review the changes or make more changes.
- Calendar — Vacations and birthdays can be grouped in the calendar to free up more space for tasks.
- Calendar — Full-day leaves and events are shown on one day regardless of what time zone they were created in or what is the time zone of the viewer.

- NEW APP! Project management – Separate additional services and one-time projects from your everyday accounting work. Add your own company project workflows or use Uku’s templates to set up client or employee onboarding as a new project. Assign a member, group or user role to a task already in the workflow template. Set the tasks to be dependent from the start of the project instead of some specific day of the month. Read more about how to use project management for accountants.
- Billing – Enabled several popular currencies that can be used to invoice your clients – do let us know if you need more
- Members – New way to add new colleagues – limited members. Fully set up your practice in Uku before inviting your colleagues. Limited members are team members whom you are setting up to use every Uku feature but who don’t actually have access to Uku yet and that you, therefore, don’t have to pay for. You can assign them to clients and tasks, set up their flextime agreements and vacations, collaborate with them on projects and more. Once you’re ready, simply invite them, and they will become active paid members of your company in Uku.

- Google login – Log in & sign up with Google are working again. Made some changes to login and signup processes to accommodate for recent changes in Google’s API which had made logging into Uku with Google impossible for some users.

Reorganisation of Settings and App store
- The new name of the App Store is Settings & Apps.
- Companies are displayed in a horizontal menu under Settings instead of a drop-down menu.
- Under the settings, there is a new company app where you can see primary company data, plan information, invoices, and settings. Settings related to clients and tasks are also grouped under the company application. On the Security tab, administrators can specify how users can sign in: via email, Google, or Microsoft account.
- Personal settings are now under the Profile menu item.

- More detailed time tracking – track time on a checklist item or comment time entries.
- Recurrence quick action – in the task view, you can click on a quick action button that will direct you to the recurrence window.

- Mark current task as done – a task for which time is running can be conveniently marked as done in the header. When moving the cursor to the timer, the option “Mark as done” will appear.
- Invoice prefix – a variable can be set as the invoice prefix (year, month, or day of the invoice).
- Mandatory custom fields – custom fields can be set as mandatory. Filling such a custom field on a task is compulsory.

- Uku identifies overlapping time logs and gaps in the report’s “Time” view. Overlapping time entries are marked with a red and gaps with a green line. Quick options allow you to cut time entries or add new ones conveniently. NB! The feature is available in the “Time” view of the report when one member is selected from the filter and the time logs are in chronological order.
- Task dependency – When you mark a task as done, the next dependent task will appear on the dashboard.
- Navigating between client profiles – you can now move from one customer profile to another with the arrows at the top of the page. The functionality also takes pre-selected filters into account.
- You can display billable (h) and non-billable (h) times in the report.
- Uku API 1.0 – you can retrieve tasks and related information, as well as time logs, entered into Uku

- Add new products to multiple customer contracts. To add a new product, first, you must enter a new contract template in the Uku billing app that contains the service(s) you want to add to the contract. After creating the template, proceed to the customer list, tick the customers you want to add to the new service and select the “Contract actions” from the horizontal menu. Next, choose “Append only” and specify which contracts you want to change. Then select the template you want to add to them.

New features
- Invoice templates – Create invoice templates to simplify the process of creating client contracts. Invoice templates can be managed under the Billing app in the App Store. Read more about how to set up and use contract templates.
- Changes in the contract template will be applied to the client contracts. When the contract template is updated, then all client contracts that are created based on the template will also be updated. (NOTE – if any changes have been made to the template-based client contract the connection between the template and client contract is lost, and updating the template won’t change the client contract).
- Multiple client contracts – Add many contracts to one client. You can see the contacts list under client billing contracts.
- Clients’ billing view is updated and divided into 3 parts: (1) invoices – list of client’s invoices, (2) contracts – list of contracts, and (3) settings – client’s billing settings.
- Add invoices manually (without contracts) – Create one-time invoices. You can manually add invoices in the client billing view by clicking “Add invoice”.
- Discount – Uku supports discounts. You can add a discount rate to each client service row (contract and one-time invoice). Discount rates are also sent to the accounting system when using an integration.
- Show invoice rows where the price is 0 but quantity is over 0. This allows you to show free services on the invoice.
- Show the name of the accountant /primary user on the invoice. The primary user name can be displayed on the PDF invoice sent to the client. You need to use a placeholder {{client_primary_user}}. You can enter the placeholder either into the client contract settings description or in the templates in the billing app.
- Invoice reply email – Client billing settings allow selecting a reply email. Then when the client receives an invoice and replies to the email, it is sent to the person responsible for the client.
- Change the order of products in the invoice. You can arrange the order of the products in the company contract template, contract, and invoice edit view.
- New billing filters – There are two new filters available in the Client view: (1) contract status (active, pending, finished), and (2) contract template (selection of company contract templates).
- Billing bulk actions – You can add or replace billing templates for multiple clients at once. You can do billing bulk-actions in the Clients view.
- New billing settings options in the App Store:
- Allow managers to view and create their client contracts and invoices – With this setting enabled managers (client admins) see the billing view on the left menu and do all actions with invoices, contracts, and settings as the company admin. The only difference is that users can manage only their own clients’ invoices.
- Allow members to view and create their client invoices – Users will see invoices on the clients’ profiles in the Billing tab. In the same view, members can also add new invoices and adjust them. This setting does not allow members to export and sends out invoices.
- Allow members to view their client invoices – This setting allows users to see client invoices under the client view. Users can view the invoices, but they can’t do any actions with them.
New billing settings options in the App Store:
- Enable users to see client invoices’ – Enables users to see client invoices under the client’s view. Users can view the invoices they can’t do any actions with them.
- Enable users to confirm billable rows – This allows the users to confirm the invoice rows. The contract product row dimension has to match the user. Admin and Owner of the company can confirm all invoice rows. Rights to confirm products can be given to users under Product dimensions in the Billing app.
- Enable client admin to manage client contracts – If the setting is enabled and the user who is an admin under client can see the Billing view and do all actions with invoices, contracts, and settings as company admin can. The users can manage only clients for who they are primary users.
- Enable invoice management for users. This setting gives users the same access to billing as admin users have.
Other improvements & fixes
- Headers in the apps are fixed, and windows are extended for better usage.
- Navigate quickly to client invoices from the invoice view. To do that, click on the client’s name on the header in the invoice view.
- You can remove the “Date until” value for the client contract.

- Quick action – navigate fast from task to client profile by clicking on the client icon.
- Task setting in the App Store – we gathered all task settings in the App Store for more convenient access. Previously task settings were scattered between Uku settings and the App Store.
- “User” filter – the filter now shows also tasks where the user has added via groups.
- “I follow” filter – the filter is now also available in the calendar view.
- Task autosuggest – If a user adds a new task from the task autosuggest, the task custom field would be added (if the previous task had it). The custom field value would be left empty.

- Payment fix – after upgrading the subscription, the user can add a new user straight away.

- Following tasks – follow your colleagues’ tasks to keep up with their progress. We also added an “I follow” filter to the dashboard search so you can quickly look up all the tasks you follow from different users.
- User groups – create user groups under “Users” view and assign recurring or one-time tasks to those groups. Assigned tasks appear on the dashboards of all the group members. Make your teamwork truly flow with this function.
- Marking invoices paid – manually mark invoices paid or unpaid, in bulk or one by one.
- Menu display options – you can leave the main menu sidebar opened.

- In the report Task/Time view the longer task names are shown with a tooltip.
- You can now add client custom fields and client groups in the import flow – first create the needed and then match with the columns.

- Magic button setting – add all time entries under one task (per month).

Other improvements & fixes
- Attachments in recurring tasks – there was an option displayed in recurring tasks to add attachments even though this feature isn’t available. We removed the misleading button.
- Client notes – there have been some problems with adding attachments and updating existing notes. We resolved these issues.
- Client billing – in the billing view on the customer card, the selection of products and VAT codes are visible, and the drop-down menu is not obscuring information.

- Export invoices to Merit Aktiva – invoices prepared by Uku can be exported to Merit Aktiva.
- New column ‘Updated’ in the client list – this column will give you an overview of when the client data was last modified.
- New options in the billing view – new column options such as ‘Invoice Date’, ‘Exported’ and ‘Sent’ have been added to the billing view along with customer search bar and customer group filter. Also you can save filters to conveniently open desired invoices.
- Assign the next invoice number in the billing view – in order for the invoice numbers to match the accounting program, set the number of the next invoice.
